ACCESSIBILITY INFORMATION: MERAKI 2017 ACCESS REQUIREMENT FORM
WELCOME TO MERAKI!
We want the MERAKI Music Festival to be an event that everyone can enjoy and will do our best to ensure the site is as accessible as possible to our deaf and disabled visitors. We are working with Attitude Is Everything towards achieving Bronze on their “Charter of Best Practice”.

ACCESS REQUIREMENT FORM AND FREE PA TICKETS
If you are a disabled customer and require full-time assistance at the festival, a free Personal Assistant Ticket will be provided on production of the completed ‘Access Requirement Form’ together with the appropriate evidence of disability as requested.
Please note there must be one Full Paying adult in a booking for a carer ticket to be issued.
There are no separate tickets for disabled customers and you may purchase your ticket through any of our authorised agents. You will then be able to apply for your Personal Assistant’s free ticket via the Festival Office. If you are bringing a disabled child or teen under the age of 16 that requires our access facilities, you will need to purchase a full-price ticket. Our festival terms and conditions state “Any child under the age of 16 must be accompanied by a parent or guardian.” It is not the case that the Child Ticket enables the parent or guardian to request a free carer ticket.
You can apply to use the Disabled Access Facilities and Disabled Access Campsite regardless of the age of the disabled customer. Please submit the necessary documentation with your application form.
Please include a copy of one of the following documents with your completed form:
- DLA/PIP or equivalent
- Deaf or Blind registration
- Recent letter from the DWP stating that you are entitled to DLA/PIP (2016/2017)
- Alternative evidence to support your claim.
Blue Badge – this alone will not entitle you to a PA/Carer ticket or to park in the accessible camping field, but it will allow you to use any disabled parking bays in any designated car parks. Please remember to contact the Access team for an application form for disabled parking bays so we may provide you with the appropriate pass.
All access forms with proof of disability should be submitted by Monday 26 June 2017. This will assist us when event planning.
PLEASE NOTE: Accessible facilities are only available for persons with permanent disabilities.
If you are unable to provide evidence of disability, you will not be entitled to a free ticket for a personal assistant. Once all documentation has been received and processed, you will receive confirmation by email.
There will be viewing areas or platforms to enable viewing of the stages – these are most relevant for use by wheelchair users and those unable to stand for long periods. These customers will be given priority in accessing the viewing platforms or viewing areas and seating will be provided on a first-come-first-served basis. Please check with the Information Tent for any changes to viewing platforms/areas during the festival. Accessible toilet(s) will be located close by.
If you require access to this area, please apply via the Access Requirement Form. We will then provide you with a pass to access these areas. Stewards will be placed at these locations for your convenience and safety.
Your personal assistant or a family member/friend will also have a pass for access to the viewing area when accompanying you. Please note that during extremely busy periods, we may ask your PA/Carer to move to the back of the platform/viewing area if you do not need direct one-to-one support, this does not apply to children as they must be accompanied at all times.
ACCESS TO PERFORMANCE
Unfortunately, at this time we are unable to offer British Sign Language / Captioning / Audio Description, however, this may be available at future MERAKI Festival Events. There will be an Access Information point with a portable induction loop system available for hearing impaired customers. More information on this will be included in your information pack, to be sent to you via email (or post if requested) a few weeks before the festival date.
PLEASE NOTE: Some of the music performances may include strobe lighting. There will not be a warning immediately before a period of strobe lighting. We will endeavour to provide general warning signs around the main stage if strobe lighting is to be used.
ACCESSIBLE CAMPING AREA
When you complete your Access Requirement Form, please state if you will require weekend camping facilities. Due to limited spaces within the Accessible Campsite, we would ask that each disabled customer have no more than three other people (including your personal assistant), camping with them. Should you have a larger group, please contact us directly and we will be happy to try and accommodate your needs.
There will be availability for campervan and caravan parking within the Accessible Camping Area. You will need to purchase a permit for this parking facility when you purchase your preferred tickets. Spaces on site will be available on a first-come-first-served basis. We cannot guarantee such parking spaces in this area, unless passes have been purchased for your vehicle.
PLEASE NOTE: You will not receive your parking permit for the Accessible Campsite until you have completed the Access Requirement Form and it has been approved.
Further information will be available on request and included in your information pack.
There will be 24-hour access to power for wheelchair charging. We will not be responsible, however, for equipment left at this charging point, equipment left at the charging point will be ‘at the owners own risk’.
Accessible parking will be available for blue badge holders in designated car park areas, and will be positioned as close to the festival arena as is possible, the blue badge alone, however, does NOT entitle the holder to park on the accessible campsite parking area. Please contact the access team for a pass to use blue badge parking and if you require any further information. Further information will be forwarded to you in your information pack prior to the festival. We will also provide information on public transport options.
ACCESSIBLE TOILETS AND SHOWERS
The Accessible Campsite will have accessible toilets, and standard toilets. There will also be accessible toilets placed around the festival site.
Should you require accessible shower facilities, please state on your Access Requirement Form or contact the Festival Office for further information.
We welcome assistance dogs onto the site and an area will be provided for toileting purposes. Please state on your Access Requirement Form if you will be bringing an assistance dog with you to the Festival.
Should you need refrigeration facilities for medication, please let us know in advance when you complete your Access Facilities Requirement form.
There will be a first aid tent within the main arena and medics/first aiders on hand and patrolling the festival area.
There will be an access information point with a portable induction loop system available for hearing impaired customers.
Once you have purchased your ticket, and your Access Requirement Form has been approved, we will forward any relevant access information in the information pack, including transport options, maps, where to go on arrival and which entrance to proceed to.
HOW TO APPLY FOR DISABILITY ACCESS FACILITIES:
1 Purchase your festival tickets. Disabled customers aged 18 or over will need to purchase their own adult event ticket. Please DO NOT buy a ticket for your PA as this will NOT be refunded.
2 Please complete the Online Access Requirement Form.
3 If you cannot complete the online form, please download the PDF version, print it out, fill it in by hand and either scan and email it (with scans or photocopies of accompanying evidence) to Julie@Merakifestival.com or post it to Meraki Festival, 47a Bancroft, Hitchin, SG5 1LA.
4 When your Access Requirement Form has been approved, we will send your personal assistant ticket, information pack and any purchased permits.
Your information pack will be sent by email unless instructed otherwise, and you will receive this a few weeks before the festival date.
